In accordance with the Vision, Mission, and Core Values of the WestUrban Group of Companies the Executive Assistant provides extraordinary confidential and senior level of professional support to the Leadership team.
Supporting the business operations, this position will handle anything from calendar management and travel coordination to document and correspondence drafting, desk top publishing, and office management.
The Executive Assistant reports to the Chief Executive Officer and is a natural problem solver and brings an incredible level of resourcefulness, independence, organization, and administrative prowess to daily tasks.
The Executive Assistant is proficient with desktop applications, able to multi-task and juggle multiple competing priorities whilst maintaining an environment of calm and efficiency.
DUTIES AND RESPONSIBILITIES
1. Provides confidential and personal executive support to the executive management team including calendar management, daily activity preparation, expense management, making travel arrangements, document management, and providing first draft of correspondence, memos, agreements, marketing materials, and presentations
2. Creates and fosters collaborative, respectful, mutually beneficial business relations with all stakeholders and easily adapts communication style to suit
3. Always works collaboratively with team members
4. Ability to inspire, motivate, and lead others
5. Provides support to the Leadership Team including meeting coordination and support (agendas, minutes, tracks action items)
6. Organizes and designs appropriate materials for business development, investor relations, and staff communication activities
7. Receives, sorts, prioritizes, processes and organizes all incoming documentation to the senior executive team
8. Maintains effective document management systems for the executive office and secures all records in accordance with regulatory and corporate requirements
9. Initiates best practices, corporate office procedures, and standards in compliance with company Standard Operating Procedures (SOPs)
10. Performs other related duties as assigned
Qualifications & Experience:
QUALIFICATIONS:
Education, Training, and Experience
A level of education, training, and experience equivalent to a Diploma or Degree in Office Administration, Business Administration, or other acceptable discipline and a minimum of 7 to 10 years working in an senior executive support role, preferably in a legal or real estate environment.
